Who can post, and managing customer posts — anonymous vs. identified customers only, hiding
Control who can submit ideas and comments on public boards and widgets: by default anyone can post with no approval queue, restrict posting to identified customers only, allow anonymous sign-up with an Anonymous N label, hide spam posts in bulk (up to 100), hide or delete customer comments, add private internal notes, edit titles, descriptions, and topics as an admin, handle posts held back by the 30-post limit on the free plan, sensitive numbers are automatically masked, and prevent duplicate votes. Keywords: identified customers only, anonymous, approval, spam, spam posts, hide, hide comments, private notes, held posts, duplicate votes.
Updated
This page covers who can post ideas and comments on the public board and widget, and how the team organizes posts submitted by customers. For the feedback list and detail screen usage, see the Reviewing and Handling Feedback article.
Who Can Post
Can visitors who are not logged in post ideas and comments?
Yes, by default anyone can post. Visitors who are not logged in can submit ideas, comments, and votes directly on the public board and widget.
- Posts from anonymous visitors appear within each idea as Anonymous 1 · Anonymous 2, and the same person keeps the same number within that idea.
- To allow only logged-in customers to post, turn on Only identified customers can post below.
Can customer posts be reviewed before they are published?
Approval-before-publishing is not currently supported. Ideas submitted by customers are published immediately in the Voting status. Once the free plan's idea limit is reached, only newly submitted posts are held hidden on arrival (see Free Plan 30-Idea Limit and Held Posts below).
- To hide unwanted posts, hide them. You can hide up to 100 at once from the feedback list.
- To narrow who can post, turn on Only identified customers can post.
How do I allow only logged-in customers to post?
Go to Settings > Workspace > General Info & Branding, turn on Only identified customers can post under Feedback posting, and save. It is off by default, and owners and admins can change it.
- When on, ideas, idea comments, and announcement comments can only be posted by identified customers.
- Anonymous visitors can only vote and react. If they try to post an idea or comment, they see the message "This board only accepts posts from logged-in customers."
- Team members who open the board with an admin account can always post.
Who counts as an "identified customer"?
Widget customers verified by signature, and customers who log in with a customer account (Google or email).
- Widget customers whose user identification is integrated via JWT or userId + signature are included.
- Widget customers who pass only a userId without a signature are not included, because anyone can supply any value.
- For integration methods, see the User Identification (SSO) and Customer Attributes (Traits) article.
What happens if I turn on "Only identified customers can post" on the free plan?
Only customers logged in with a customer account can post. Widget user identification starts from the Starter plan, so on the free plan no widget-identified customers exist (see the exception in Features by Plan — Free, Starter, Pro, and Business at a Glance). Voting and reactions remain open to everyone.
Posting Anonymously
Can customers hide their name when posting?
Logged-in customers can submit with "Post anonymously" turned on. It is available in the idea submission form and the comment form on the public board. When on, the name and profile are not shown on the public board or widget. The widget's posting screen does not have this option.
Can admins see the author of anonymous posts?
Yes. "Post anonymously" hides the name only on customer-facing screens. On the admin screen, the author's name is shown along with an Anonymous label. Visitors who are not logged in have no name to begin with, so they appear as Anonymous even on the admin screen.
Managing Customer Posts
How do I hide several spam or advertising posts at once?
Select them in the feedback list and hide up to 100 at once.
- In Feedback Board > Feedback, select rows with the row checkboxes. The header checkbox is Select all on this page, and you can also select across pages.
- In the bar that appears above showing N selected · Clear selection · Publish · Hide, click Hide.
Hidden posts disappear from the public board, widget, and roadmap, and no longer receive votes. To restore them, use Publish in the same bar. If you selected more than 100, process them in batches.
Can I hide or delete inappropriate customer comments?
Yes. Hover over a customer comment on the idea detail page and use the buttons that appear to hide or delete it. Owners and admins can do this.
- Hide from customers — The comment is removed from the public board, widget, and comment count, and remains visible only on the admin screen labeled Hidden from customers. Use Show to customers again to restore it.
- Delete comment — You can delete both customer comments and comments by other team members. The spot is replaced with "This comment has been deleted," and this cannot be undone.
- Comments written by team members cannot be hidden.
Can I leave team-only notes on an idea?
Yes. Check "Private note" in the comment form before posting. As the on-screen guidance states, it is visible only to the team, not shown to customers, and triggers no notifications. The reply form does not have this option.
Can admins edit the title, description, or topics of customer posts?
Yes. Use the pencil button next to the title on the idea detail page (edit title, description, and topics).
- Titles must be 5–200 characters, and you can select up to 3 topics ("You can select up to 3 topics").
- Editing does not send a notification to the customer.
- Customers can edit their own posts only while they are in the Voting status. See the Public Feedback Board article.
Can I block specific customers from posting?
This is not currently supported. There is no block list for specific people. If spam posts pile up, turn on Only identified customers can post, and hide existing posts in bulk from the list. Requests to post and vote on the public board are limited to 60 per minute from the same IP address.
Free Plan 30-Idea Limit and Held Posts
What happens to customer posts when a free plan exceeds 30 ideas?
They are not blocked; they are accepted and held hidden (held posts). Only ideas that admins create directly with + New feedback are blocked from the 31st onward.
- Customers — After submitting, they see the message that the team will review it and publish it to the board.
- Our team — The notification bell shows New feedback held hidden due to free plan limit · title.
- Feedback list and detail — Shown as Hidden due to free plan limit.
The 30 count includes all remaining ideas, whether published or hidden. Deleted or merged ideas and held posts are not counted. As a result, hiding advertising posts does not free up space; they must be deleted. For limits by plan, see the Features by Plan article.
When are held posts published?
When space becomes available, the oldest held posts are automatically published within 10 minutes. Space opens up when you upgrade to a paid plan (including starting a free trial) or delete another idea.
To publish without waiting, use the publish/hide toggle on the detail page or Publish in the list. There must be space within the limit; otherwise, a plan notice appears.
Personal Information and Duplicate Votes
What happens if a customer enters an ID or card number in a post?
It is masked automatically before saving. In idea titles and descriptions, idea comments, and announcements and announcement comments, numbers that look like resident registration, alien registration, passport, driver's license, card, or bank account numbers are replaced and saved as, for example, [Card number masked · last 4 digits 1234].
- The original number is not stored anywhere. For card and account numbers, only the last four digits remain.
- Phone numbers and business registration numbers are not masked.
Can someone vote many times to inflate the count?
Each person gets one vote per idea.
- Customers identified through user identification and customer accounts get one vote per customer.
- Visitors who are not logged in are blocked using a browser cookie and device information for that day. Even if the cookie is cleared, on the same day and same device you will see "You have already voted for this idea."
- If the date changes or the device or browser differs, anonymous voting cannot be completely prevented. If accurate counts matter, integrate widget user identification.
- A setting to disable only anonymous voting is not currently supported. Even with Only identified customers can post on, anyone can still vote.
Frequently Asked Questions
Advertising posts keep coming in. How do I stop them?
Turn on Only identified customers can post under Settings > Workspace > General Info & Branding, and visitors who are not logged in will not be able to post. For posts that are already up, select them in the feedback list and hide up to 100 at once. Approval-before-publishing and blocking specific people are not currently supported.
Does the customer get a notification if I delete their post?
No. Hiding or deleting an idea, or hiding or deleting a comment, does not send a notification to the customer. Deleting an idea also removes its votes and comments permanently and cannot be undone, so if you are unsure, use Hide instead.
